Undercom provides self-hosted, white-label software to agencies. When our software is deployed by an agency, that agency acts as the data controller for any personal data collected through their chatbot. Undercom does not independently determine how end-user data is used and, where applicable, acts as a software provider and data processor, processing data only on the agency’s instructions.
This Privacy Policy applies to data collected by Undercom through our website and direct communications. End users interacting with an agency-deployed chatbot should refer to the deploying agency’s privacy policy for information about how their data is processed.
2. Information We Collect
We may collect and process the following data about you:
- Personal identification information (Your email address and, in some cases, phone number. Names are only collected when the lead generation setting is turned on).
- Technical data (IP address, browser type and version, time zone setting, and other browser-related data).
- Platform usage data (Where the platform is deployed by an agency, information about interactions with a chatbot may be processed within the agency-controlled environment, such as chat logs, conversation summaries, tokens used during conversations, and timestamps, depending on configuration).
- Feedback data (Feedback you provide about the chatbot, such as 'thumbs up' or 'thumbs down' on specific messages, along with any additional comments).
- End-user data processed via agency-deployed chatbots (When our platform is deployed by an agency, end-user data such as email addresses, country, language preference, time zone, and chatbot interactions may be collected depending on the agency’s configuration. Names and emails are only collected when the lead generation setting is turned on or if provided in a chat).
- Company data (For companies using our services, we collect the company name, website URL, subscription status, and other relevant details, such as trial end dates and company-specific identifiers).
- Security data (Information related to user security, such as last login IP addresses, login count, and account activity like active status).
- Email data (Where email features are enabled, email addresses and message metadata may be processed as part of platform functionality, depending on configuration).
Undercom does not access or retain end-user chatbot content by default. Data is processed and stored within infrastructure controlled by the deploying agency.
3. How We Use Your Information
We use the information we collect in the following ways:
- To provide, operate, and maintain our website and services.
- To improve, personalize, and expand our website and services.
- To understand and analyze how you use our website and services.

Where Undercom acts as a data processor for agency customers, processing is governed by our Data Processing Agreement (DPA).

- With affiliates (if applicable) where necessary to operate our business.

If a chatbot you interacted with is operated by an agency or their client, requests relating to that chatbot’s data should be directed to the organisation operating the chatbot, as they are the data controller.
